COACH ONBOARDING GUIDE

Everything a coaching staff needs to work Fieldproof in about fifteen minutes: verification, athlete search, boards, evaluations, film requests, and your own staff listing.

1. Get verified

Coach access is approved by a person, not an email domain. Register with your institutional address, add your program and coaching title, then submit for verification from the Coach Hub. A reviewer checks your email, your title, and your listing on your program's published athletics staff directory. Until all three clear, your account stays Under Review and athlete search is closed.

Nothing else is gated by payment: verification is what unlocks recruiting tools.

2. Search athletes

Athlete search covers athletes who have published a recruiting profile. Filter by sport, position, graduation year, state and name. Every profile shows measurements, performance entries and film with a verification label — verified numbers currently include coach-confirmed data. Event verification launches during the pilot; everything else is clearly marked self-reported.

Contact details for minors are never shown. Reach a young athlete through their guardian link or their school, and expect the athlete's family to see that you looked.

3. Build recruiting boards

Create one board per need — "2027 interior OL", "transfer portal guards" — and give it a needs note so your staff knows what the board is for. Save prospects from search onto a board; each save is logged to the athlete's activity feed as interest from your program.

Use the side-by-side compare view to line up prospects on the numbers before you spend a staff visit on them.

4. Keep private evaluations

Every saved athlete can carry a grade and notes. Evaluations are private to your account: athletes, parents and other programs never see them. Grade the same way you would on paper — the roster view sorts and filters on those grades later.

5. Request film updates

Open the Saved roster and hit Request film update on any prospect. The athlete sees a request from your program on their activity feed and can post new clips without any email back-and-forth. Requests are attributed to your program automatically — you cannot request film anonymously, and that is deliberate.

6. Claim and maintain your staff listing

Athletes browse programs by division, conference and state, and see the coaching staff we read from your school's own published directory. Open My Listing to claim the entry that is you, then fix your title, recruiting email, phone and bio link. Claimed entries are marked coach-confirmed, so athletes know they are writing to the right inbox.

If your program has no entry yet, create one from the same screen by selecting your program.

What we ask of coaching staffs

  • Keep contact and title information accurate — recruits are acting on it.
  • Follow your association's contact rules; we do not override NCAA or NAIA dates.
  • Do not share athlete profiles or contact details outside your staff.
  • Report anything unsafe or misrepresented so we can review the account.
